Access common and frequent actions such as search or create assets on the top navigation.


The top navigation is always accessible.

The top navigation contains the following elements: Show/hide side navigation (1), Return to previous page (2), Go to next page (3), Create asset (4), Actions (5), Advanced search (6), Quick search (7) and User settings (8).

Show/hide side navigation

To make the main window larger, you can hide the side navigation by just clicking on the button "Hide side navigation". This gives you more space for displaying images or layouts that you want to edit, for example. When the side navigation is hidden, you will see the button "Show side navigation" instead of the "Hide side navigation" button. Click on that button to show the side navigation once again.

Switch pages

Using the "Forward" and “Back" buttons you can switch between the various pages. They basically correspond to the forward and back buttons in your browser.

censhare uses three different types of pages to display information: asset, search, and application pages. Asset pages display all of the information about an asset. Applications pages are the interface for censhare functions that can also work with multiple assets. Search pages show you the results of searches or filter lists such as “Tasks” or "Most recently edited".

Here’s an example of how the navigation buttons can be used: You’re on the starting page, you open the “Tasks” search page, and filter the list by “Image” type assets. Then you search for assets with “December” in the name. The “Back” button first brings you back to the “Task” filter list. If you click again on the button you will land on the starting page again. The “Forward” button takes you back to the tasks page.

Create assets

To create a new asset, the top navigation provides you with the “Create asset” button. Click that to open the dialog for creating a new asset. There are three options for creating a new asset.

New asset

With this you create a new asset and later add content to it. Click the “New asset” tab in the dialog, select an asset type and enter a name for it. In this step you can also configure further metadata or wait until later to edit the asset. Click “OK” to save it. censhare then opens the newly created asset in its own asset page. That is where you can enter additional details or add files.

Assets from templates

Creates assets from templates that are available in the system.

In censhare there are simple templates and structure templates. Simple templates have just one single asset that is copied. Structure templates contain an entire asset structure through which assets can be connected to one another on multiple levels. When creating new assets from a structure template, the entire structure is copied, including all of its assets and relations.

Assets from file

Upload one or more files, for example images or layouts. You can use the system’s file chooser dialog or just drag and drop the files. To do that, click the “File from asset” tab in the dialog. An upload area will open with a highlighted background.

Actions

In the “Actions” menu you’ll find the following menu options that open the corresponding dialog or wizard:

  • Create print document

  • Create social media post

  • Create conversation

  • Import assets

  • Import module assets

Create print document

This action opens the wizard for creating a print template. In each step, select the desired element and confirm that selection by clicking CONTINUE.

Create social media post

This action opens the wizard for creating a post in a social media network. In each step, select the desired element and confirm that selection by clicking CONTINUE.

Create conversation

In the following dialog select the “New asset” tab to create a new “Conversation” asset and enter a name as well as an optional description for the asset. To use a template, switch to the “Asset from template” tab and select the desired template from the assets available there. The name as well as all of the other metadata are taken from the template.

Import assets

A note before you continue: You can only import files here that have been exported from another censhare system with the “Export asset” function (file extension: “.censhare-assets”). If, for example, you want to import an image, text, or layout file as an asset, use the “Create asset” function and then the tab "Asset from file".

When you open the “Import asset” dialog, censhare will first ask you which master data is to be imported or reset. By default, all of the checkboxes are activated, which means all of the master data will be reset. Deactivate the checkboxes if the related data should be imported with the asset(s). For some master data, it may make sense to import them, such as keywords. Once you have made your selection click “CONTINUE”.

Depending on the configuration of the system you are importing to or exporting from, assets may also contain keys for master data that is not yet in your system, for example, language variants. If this is the case, censhare shows you in the next step which keys will be created when you import into your system. The message is purely informational so do not remove the checkmark. Click “CONTINUE”. After a successful import, you will see the message “Server action successful - Import assets”. Via the navigation option “Most recently created” you can then find the imported assets.

Import module assets

This menu option is only required for system diagnoses.

Search for assets

You will use the search function often in your daily work with censhare in order to find certain assets or assets with certain features. The various search modes allow for intuitive searches using terms as well as more targeted searches that include metadata and relations.

Advanced searches

censhare has two options for more advanced searches: the detailed search and the expert search. Using these two options you can drill down for specific metadata or create search queries with logical relationships. The quick search can also be combined with the advanced search.

Select one of the two search options in the menu so you can define your search parameters:

  • Detailed search:  Searches in the selected metadata. Enter your search term in the desired field. In fields with a triangle, you can drop down a list of search terms to choose from.

  • Expert search:  This connects search parameters with the conditions AND, OR, and NOT in order to search for assets with relations. 

Quick search

The top navigation also provides you with the quick search option for finding assets. To start a search, click the cursor in the search field. censhare will open a search page. Now enter your search term. As soon as you have typed three or more characters, censhare will automatically begin providing results.

You can then filter and sort those results. You can also save the search as a favorite in the side navigation. To do that click the “Action menu” button on the right in the filter bar of the search page and select the “Save search” option.

User menu

In the user menu you configure your personal censhare work settings as well as edit you user profile. To do that click on your user name and select one of the following menu items:

Show profile

Reset preferences

With the menu option “Restore settings” you can undo all of the changes of your personal preferences. Confirm your action by clicking "OK" in the dialog.

Reset workspace

censhare saves all of a user’s settings for pages, tabs, and widgets in that user’s workspace. Tabs organize a page into different information or editing areas. Widgets display asset information that is related in terms of topic or they contain certain asset lists, for example, all assets in which another asset is placed.

You can configure asset pages and the starting page to suit your specific needs. For example, if you add a tab to an asset page the change will be applied to all asset pages of the same asset type.

The default layout of your workspace can also be restored. To do that select the menu option “Reset workspace” and confirm your action by clicking "OK” in the dialog.

Changing password

You can change your login password for censhare anytime. Select the menu option “Change password” and enter both your old password once and your new password twice in the dialog that appears. Make sure you conform to any system-specific password rules that apply. Confirm your changes with "OK". Next time you log in you will use your new password.

Keyboard shortcuts

censhare Web offers you a range of keyboard shortcuts that allow you to carry out frequently used commands quickly with the keyboard. The menu option “Keyboard shortcuts” opens a dialog that helps you with those shortcuts.

The following keyboard shortcuts are available in censhare:

About censhare Web

The menu option “About censhare Web” opens a dialog with important information about the censhare system you are currently working with. This information is essential in support situations so you can get help quickly.

The following information is contained in that dialog:

Name of the server you are connected with.

Server status

Status of the server you are connected with.

Server Java version

Java version used by the server.

User name

The user currently logged into censhare.

OS version

Name and version of the web browser you are using to access censhare Web.

Connection URL

The web address through which you are accessing censhare Web.

Log out

To log out of the system click the button “Log out”.
