Set up the translation memory (TMX)

censhare Translation Memory contains all imported segments and all segments created in the system. Every segment contains language pairs with the languages being used for the translation. These work as the source or target language depending on the direction of the translation. While translating, users can edit or delete suggested segment pairs,  but censhare offers you the option of maintaining segments and terminology independently of a specific text. This option is mainly important for translation management and for coordinating translation teams.

Users with the appropriate privileges can manually edit segments and terminology lists in a special "Translation management" asset. In addition, you have the option of placing the widgets used here for editing on their own tab and of making them available for certain asset types. The "Translation management" asset is part of the default configuration of the censhare translation memory. You can find it in the root domain of your system.

We do not recommend releasing the asset in the root domain for editing. This domain should only be accessible by system administrators. Below we describe two options for configuring the manual maintenance of segments and terminology in other domains. This allows translators or project managers with the appropriate rights, for example, to use these functions without working in the root domain.

Both configuration variants here offer the same functionality. In the asset variant, you create a duplicate of the translation memory asset and place it in the appropriate domain. Users then access the duplicated asset. In the tab variant, the translation management widgets are available on their own tab. This can be configured such that it shows all text assets, for example.

If you work with different translators or a team of translators, we recommend working with differentiated roles. For example, translation or project managers can edit, delete or add segments in the memory. Translators on the other hand only have limited rights and can't delete segments. The censhare translation memory provides the appropriate Permissions to do so.

Duplicate translation management assets

Search for the asset "Translation management" – the asset type here is "Translation" – and duplicate it.  Open the copy and start the "Edit properties" dialog in the asset menu. Assign the desired domains to the asset in the "Properties" area. Users need to have this or a higher-ranking domain as their master domain in order to be able to show this asset. In the "Resource" area you can also enter a role, for example, "Translation management". Only users with this role will be able to access the duplicated translation management asset.

Tip:

In the master data of the censhare Admin Client, you can edit the permissions to access the translation memory. To do that, create a permission group for editing segments and terminology and add this to the corresponding roles, for example, "Project manager" or "Translation manager".

In the asset, you find the tab Segments and Terminology. The widgets show a list of all segments from the memory or all of the glossary entries.

Create the "Translation management" tab

Here, you add a tab "Translation management" to the asset. If a user has the appropriate rights, another tab for translation management will be displayed in this asset. The translation itself will be further edited in the "Translation" tab. Users thus have access to translation management directly in the asset in which the translation is created.

To create a tab and display it on an asset page you need to modify the Workspace Configuration. Tabs are shown in the workspace structure of censhare Web in the asset type Workspace Container. In a workspace page, you then reference this workspace container in order to make the tab available in an asset type. The widgets you wish to place in the tab are linked with the workspace container in the Widget configurations. When configuring widgets, the metadata is written into the linked widgets and set up accordingly.

For this variant, you can accept the widget configurations of the translation management asset. All you need is a new tab. For that, create a "Translation management" workspace container asset and place the Edit segments and Edit terminology workspace widget configurations in there. The widgets show a list of all segments from the memory or all of the glossary entries.

Ten create a resource replace variant of the asset page on which you wish to display the translation management tool, for example on text asset pages. Assign the corresponding roles with the permissions for translation management, for example, "Project manager" or "Translation manager", to the resource replace variant relation. Users with these roles then see this replace variant with the additional "Translation management" tab on the asset pages for the "Text" asset type. There you can edit segments and terminology independently of a linked text. There you can edit segments and terminology independently of a linked text.

Build new indexes

When you add segments in Translation Management, these may not be proposed when translating texts. The reason for this is typically the indexing in the censhare database (cdb). To fix this problem, you need administrator rights as well as access to the censhare server. First recreate the index in the translation memory. To do that, start the server action "RebuildTranslation Memory Index". f this doesn’t solve the problem, delete the directory "~/censhare/censhare-Server/work/cdb/translation-memory" and restart the censhare server.
